What do we do?

Once you have requested a trial, we start with an intake call. Based on that, we set up a fully working i-Reserve environment for you, with one or a few products you want to make bookable online.

We configure the Online booking module so you can test for yourself how your customers book and, if you like, pay online straight away. The booking screen gets basic styling in your website's colours, with your own logo. For online payment, we configure the Online payment module via Pay.

In the admin area we set up a number of basics, such as the handy schedule and a basic workflow that automatically sends emails to your customers. We also activate the modules you may want to use.

What do you do?

As soon as your trial environment is ready, you will receive an email with the URL and your admin login details. From there, you get started yourself and try out, with no obligation, whether i-Reserve is right for you.

What do we do?

In i-Reserve, a product is anything you want people to book: a meeting room, a boat, a course, a fitness class, a bowling lane or a holiday home.

To make a product bookable, we configure things such as the periods (hour, day), the prices and the participant types (adults, children), along with the matching opening hours and calendars. Optionally, we add options, extra questions and required resources.

Once a product is fully set up, we test that it can be booked properly and is ready to use.

As soon as we let you know the products are ready, you test them and share your findings with us.

What do we do?

The workflow handles communication with your customers by email and/or SMS during the booking process. Setting it up involves a few parts:

• Based on the status of a booking, we decide which email or SMS your customer receives and when.
• We create the templates used to build emails (optionally with a PDF attachment) and text messages dynamically.
• Where needed, we set up automatic transitions: a trigger, such as a payment, moves a booking from status 20 – Open to 30 – Paid, for example.

Of course, we test thoroughly that the workflow works as expected.

What do you do?

As soon as we let you know the workflow is in place, you test it and share your findings with us.

What do we do?

A support session is an online session, usually via Google Meet. We watch your screen and guide you. Usually you carry out the steps yourself: in practice, that works better than us demonstrating.

We take care of:

• scheduling the session, including the Google Meet link;
• optionally, a recording of the session, which we send to you;
• a summary and, if useful, a list of topics for a follow-up session.

What do you do?

Before the session, make a list of your open questions and requests and, if possible, email it to us. That way we can prepare and make the most of the session.

A few tips:

• Join from a quiet room so we can hear each other clearly.
• More people joining? It helps if each participant has their own laptop.
• Test your camera and audio beforehand so we can get started right away.

What is included?

There is no monthly fee for the Online booking module: you can use it as soon as you have an i-Reserve licence.

We set up the module for you so you can test for yourself how your customers book online. The booking screen gets basic styling in your website's colours, with your own logo.

What is included?

There is no monthly fee for the Online payment via Pay. module: you can use it as soon as you have an i-Reserve licence.

Your Pay. account

You request a Pay. account yourself via signup.pay.nl; we cannot do this for you.

Permission for support

Not required, but handy: give i-Reserve support access to your Pay. details, without us being able to see your financial data. We can then retrieve the API keys needed for the integration ourselves. Here's how to grant that permission.

Test payment

We check the integration with a test booking and a test payment. Do the same yourself before you switch the module from test mode to live processing and start receiving real payments.

Have us do it?

Want to use a payment provider other than Pay.? i-Reserve also integrates with Buckaroo, CardGate, Ingenico, Mollie and Stripe. We set up the integration using the details you provide.

What do we need from you?

First, you create an account with the payment provider yourself. Using your account details, such as the API key for Mollie, we connect your i-Reserve environment. We also configure general settings to suit you, such as transaction fees for your customer and the status a booking gets after payment.

Have us do it?

After implementation, you create invoices in your own i-Reserve environment. Included are a template for generating the invoice automatically and a template for the email you send it with. Together we go through what we need from you, such as the VAT rates.

Settings

The Invoice module has many settings, such as the invoice number format and the point in the booking process at which a (draft) invoice is created. You decide how you want it; we set it up.

Have us do it?

After implementation, you automatically send text messages to customers who book. A few initial SMS templates are included.

SMS workflow

You can send text messages manually, but automatically is much more convenient. You decide when a message is sent and what it says; we set up the workflow.

Have us do it?

The Export module sends booking data to your accounting software, so your booking revenue goes straight into your books.

Export via file

For a number of accounting packages there is an export to a file format, such as an XML file for AccountView. We configure the mapping and parameters to suit your needs.

Export via API integration

With some packages, such as Exact Online and Moneybird, i-Reserve connects directly via an API. We set up this integration together with you, because it also requires settings and details from your accounting software account.

What do we need from you?

For example, the authorisation details for an API integration and the general ledger account numbers that match how your accounts are set up.

Have us do it?

With the Punch card module, customers pay for bookings in advance: for a number of bookings or for a set amount. We set up a number of punch cards to suit you and add a page where customers can buy them.

What do we need from you?

Which punch cards you want to offer: the price, and whether a card is for an amount or for a number of bookings.

Have us do it?

The Gift certificate module lets you create gift certificates that customers can use to pay for bookings. We create a number of gift certificate types and gift certificates based on your wishes.

What do we need from you?

Which gift certificates you want: the price and validity period, whether a certificate can be used more than once, and what the certificate code should look like.

Have us do it?

The Subscription module lets you manage subscriptions in i-Reserve. We set up the module and create a number of subscription types to suit your needs.

The E-ticket module lets you create admission tickets for bookings. You send them manually or automatically along with emails, and scan them with our scanner app.

Implementation

We set up the email templates for the e-tickets and add them at the point in your booking process that suits you. We also help you set up and start using the scanner app.

Companies

Normally, i-Reserve works with customers. With the CRM module, you link customers to a company as contacts. We configure the company settings to suit you.

Tasks

Tasks let you track work in i-Reserve and assign it to staff. We create task categories, groups and templates to suit you.

We style your i-Reserve environment based on your house style. By using the colours and images from your website, the look and feel stays consistent.

With full styling we go further: think custom backgrounds and your own layout for the blocks on the customer pages. We can also add custom content pages and notifications, and show extra information in various blocks.

With templates, i-Reserve automatically sends emails and creates PDFs. Together we discuss which templates you need, for example for confirming, cancelling and declining bookings, or PDFs for quotes and invoices. We design basic templates in your house style, with your logo and the essential information.

Advanced templates let you include more information and advanced styling. Here too, we first discuss which templates you need. You make more extensive use of variables, for example for a clear payment schedule on an invoice, and we can style the templates entirely to your specifications.

Together we work out the ideal schedule layout for you and set it up accordingly. If it better suits how you use i-Reserve, we set up multiple schedules.

i-Reserve excels at filters. Together we agree on the insight you need and set up a filter for, say, bookings, customers or invoices. We also configure the view: which columns you see in the filter.

You can also schedule filters: at set times, you then receive an email with an Excel file containing the filter results.

When booking, customers leave their details. Together we agree on which information matters to you and set up the form accordingly. That information appears on the customer dashboard, with the key details on the booking dashboard. We can also customise other forms, such as the booking form.

We add your terms and conditions as a PDF to the booking process. You choose whether customers must accept them before completing their booking, or whether accepting is optional.

Instead of a PDF, we put your terms and conditions on a customer page, so customers don't have to download anything. Here too, you choose whether accepting is mandatory or optional.

You link discount profiles to customers' user accounts, for example a profile that gives customers a 50% discount. We set up the profiles to suit your needs.

Want the URL of your i-Reserve environment to match your own website? We'll change the URL for you. We can also change the URL on a subdomain of i-reserve.net.

Together we discuss which booking and/or customer data you will supply, and we import it for you. The time depends on the quality of the data: if it is already structured as required, it goes faster.
